Student Gathering Room Reservation Instructions

To ensure a seamless and organized student gathering experience, we have changed the room reservation process and created a Google Spreadsheet to sign up for a room/time slot. Please carefully follow the instructions below:

· Determine if you are combining with other chapters- Please work with your chapter director in determining if you will be combining with one or more chapter/s from your region. If you are combining, please select ONE PERSON as the contact point. This person should be the one to sign up on the spreadsheet and communicate with our team in Provo.

IMPORTANT DISCLAIMER: We are trusting you to access and sign up on this Google Spreadsheet with honesty and integrity. Please sign up only once, and in empty slots. We will not tolerate those who remove other chapters' information from a slot. Do not create empty slots by deleting others' information and replacing it with yours or you will not be given a reservation. If you need to change anything after signing up, contact the Chapter Assistants and they will change it for you.

 
· Student Gathering Webpage- We will be creating a dedicated webpage where students can find the date, time, and location of their respective student gatherings.

· Event Promotion- To ensure maximum attendance, we will be advertising the student gatherings to students via email to their school email and one text message.

· Approved Caterers- As you plan your student gathering, please refer to this page of approved caterers: https://purchasing.byu.edu/approved-caterers.
 

· Wilkinson Center- Please note that the Wilk is unable to set up the rooms so you will need to set up tables and chairs.

Please remember that the deadline for signing up for your room reservation is TBA. Failure to submit by this date may result in no WILK reservation through our team. Please reach out if there are no slots available and we can provide a list of alternative location ideas to host a student gathering.
